Nonprofit Participation Agreement

Required for All Participating Nonprofits

This Agreement (“Agreement”) is entered into between Sharkapalooza Inc., Fuzzy Sharks, and Design Pod LLC (“Organizer”) and the undersigned nonprofit organization (“Participant”) for participation in Sharkapalooza 2026.

1. Purpose

The purpose of this Agreement is to outline the terms and expectations for the nonprofit organizations participating in Sharkapalooza 2026, an event dedicated to promoting art, conservation, education, and community engagement

2. Booth Space

  • The Organizer will provide one complimentary 10x10 booth space to the Participant.

  • Participant must supply their own tent, table(s), chairs, and display materials.

  • All tents must be properly secured with weights (no staking permitted).

  • Booth setup must be completed by 9:30 AM on the day of the event, and teardown may not begin before 4:00 PM.

  • Any requests for additional space or special setup must be approved in writing by the Organizer.

3. Use of Space

  • The booth space is to be used solely for the purpose of educational or outreach activities related to the Participant’s nonprofit mission.

  • Participant agrees to maintain a professional and family-friendly presentation.

  • Displays and materials must align with Sharkapalooza’s mission and green policy (see Section 5).

4. Liability & Insurance

Insurance Requirement: All vendors are required to carry a minimum of $1 million in general liability insurance for the day of the event. A Certificate of Insurance (COI) must be provided listing Sharkapalooza Inc., Fuzzy Sharks, and Design Pod LLC as additionally insured. Proof of insurance must be submitted no later than 30 days prior to the event by emailing it to Hello@sharkapaloozafl.com.

5. Sustainability Policy

Sharkapalooza promotes environmentally responsible practices. Participant agrees to:

  • Avoid single-use plastics and plastic water bottles.

  • Use paper, compostable, or reusable materials whenever possible.

  • Bring reusable water bottles (no plastic bottles sold or distributed on-site).

6. Setup, Parking & Logistics

  • Load-in details and parking instructions will be provided closer to the event date.

  • All participants must check in upon arrival and follow site map placement provided by the Organizer.

  • Booths must remain staffed throughout the event hours.

7. Promotion

  • The Organizer may include the Participant’s name, logo, and description in event marketing, social media, or press materials.

  • Participant grants permission for event photography or video featuring their booth to be used for promotional purposes.

8. Cancellation

  • If the Participant must cancel, they must notify the Organizer in writing at least 30 days prior to the event.

  • The Organizer reserves the right to cancel or modify the event due to weather, safety, or other unforeseen circumstances.

9. Agreement Acknowledgment

By signing below, the Participant acknowledges that they have read, understood, and agree to the terms outlined in this Agreement.
